We are seeking a Coordinator, Talent Acquisition to join our team on a 14-month contract basis. This role can be based out of any of our offices nationally, and will have a hybrid work schedule.

This is an exciting opportunity for an individual who enjoys a fast-paced and dynamic role, and is a self-starter, with a keen interest in building a career in recruitment.

Supporting the Talent Services Department in all recruitment and talent-related activities, the Talent Acquisition Coordinator delivers service excellence supporting local and national Talent Services and Recruitment initiatives. They build strong relationships with potential and new Firm hires, delivering a consistently superior recruitment, onboarding, and overall candidate experience and delivering excellence in client service to all internal stakeholders.

Key responsibilities:

Recruitment Support 

  • Supports the Talent Acquisition Team with sourcing of resumes/applications and creating short-lists,
  • Revises job descriptions to optimize posting and attract the best candidates,
  • Posts job descriptions on career websites and various job boards,
  • Conducts phone interviews and assess candidates' skills for the role,
  • Coordinates face-to-face and virtual interviews (for all national interviews), sending meeting invites/confirmations,
  • Follows up with candidates,
  • Tracks the progress of Background checks for new hires, troubleshoots any delay issues, and keeps the team up to date on progress. Provides detailed reports to the other members of the team, and hiring managers as required,
  • Prepares and sends offer letters,
  • Updates and tracks the status of hiring activities in ATS,
  • Attends and participates in job fairs and other public, post-secondary, and regional recruitment-related events.

Onboarding Support

  • Launches onboarding to new hires, ensuring all responses and documents are received in a timely manner,
  • Follows the onboarding checklist to ensure a smooth transition of new hires into the Firm, which includes follow-up with other departments and new hires,
  • Supports orientation and coordinates all training schedules for new hires,
  • Arranges for appropriate firm equipment and follows up prior to the start date to ensure a successful integration of the new hire.

Reporting, Analytics and Special Projects

  • Prepares various presentations and reports through data gathering and analysis,
  • Provides support with processing monthly department expenses,
  • Participates in Talent-related projects and takes on additional duties when required.

What you'll bring:

  • Minimum of two (2) years of administrative support experience in recruitment or related area or prior experience in a Junior Recruiter or HR Coordinator position,
  • Post-secondary education in Business, Administration or Human Resources,
  • Experience working in a law firm or professional services organization is an asset,
  • Advanced technical skills in MS Office – Word, Excel, and PowerPoint; HRIS systems, LinkedIn, and Indeed,
  • Experience working with Applicant Tracking Systems will be an asset,
  • Ability to quickly learn new tools and software,
  • Strong organization and time management skills, comfortable with working in a fast-paced environment, often with competing deadlines,
  • Demonstrated client service excellence,
  • Strong teamwork and collaboration skills, with the ability to work effectively independently.
